SmallBiz.ai Launches Automation Planning Service
SmallBiz.ai launches free workflow blueprints and AI automation planning for small businesses, with consults starting at $49.

SmallBiz.ai, launched by Irvine-based CloudIntelligence.ai, offers small businesses a way to identify and implement AI automations without adding disconnected software. The platform covers more than 500 business types, with 275-plus workflow blueprints, a 67,000-plus tool knowledge base and more than 120 AI cost and governance decision engines. Its free resources include workflow blueprints, tool guides, checklists and comparisons, while paid help starts with a $49 one-hour Automation Consult. The service is aimed at owners who want to connect the tools they already use for sales, operations, accounting, customer support and other routine work.
Outcome First Automation Plans
SmallBiz.ai starts with a business goal, then maps the existing software, workflow and capabilities needed to reach it. The company says its recommendations can include existing tools, integrations, open-source components, custom middleware and AI automation, with data, privacy and intellectual property governance considered in the plan.
The platform is built on intelligence from ToolsInfo.com, which supplies technology and role data, and AICost.ai, which supplies cost, policy and governance decision intelligence. It also uses AvatarVA.com for semantic search and guided chat.
“Small business owners ask us one question: what should I automate that actually moves the business needle?”
“Behind it are three more: will it grow sales or protect my margins, will it work with the tools I already run, and is my data safe?”
Workflows For Business Types
SmallBiz.ai has Automation Centers for businesses including HVAC contractors, dental practices, law firms, accounting and bookkeeping firms, property management companies, restaurants, auto repair shops, med spas, real estate agents, solopreneurs and marketing agencies.
One live blueprint, “Turn Voice Notes Into Job Reports,” turns a spoken post-service note from a nurse, plumber or technician into a structured record routed to existing systems. SmallBiz.ai models the workflow as saving roughly 20 staff hours a month under its stated assumptions. Another blueprint, “Turn Completed Jobs Into Invoices,” sends a payment-linked invoice when a job is marked complete and is modeled to save roughly 15 hours a month.
All 275-plus workflow blueprints and more than 500 Automation Centers are free to access. The company also provides nearly 5,000 tool guides, checklists and comparisons, nearly 2,800 role guides, and 88 curated free and open-source alternatives.
Pricing And Implementation
Business owners can book a $49, one-hour Automation Consult, with the fee credited toward any implementation. The $299 AI Business Blueprint includes an AI inventory, 10 ranked opportunities, three top workflows, an integration diagram, identified risks with human-approval points and a 90-day roadmap. That fee is also credited if the plan is implemented.
SmallBiz.ai also offers an Automation Advisor retainer for $29 per month. Workflow implementation is quoted after the consultation and is scoped to the size of the business.
“So we built the answer: 275+ workflows across 500 small business types, on top of our vast tools knowledge base and the AICost.ai platform. To avoid tool clutter we build just the features a business needs as custom middleware rather than adding another subscription, and use proven open source where it fits, priced to implement and maintain for years, with security and governance built in. The phone gets answered, the lead followed up, the invoice paid.”
Cost And Governance Controls
AICost.ai provides cost estimates, scaling projections and human-approval points for the automation plans. The company says its 120-plus decision engines assess economics, model choices and governance constraints, while its governance framework covers data handling, privacy, intellectual property and human approval.
SmallBiz.ai says its plans can range from converting a voicemail into a written message and follow-up task to a support assistant that answers from a business’s own documents or automations for daily operations. The service is intended to help businesses reuse what they already pay for before adding new subscriptions.
“The next wave of technology decisions will not be made only by people. AI agents will increasingly select and connect tools on a business's behalf. That requires machine-readable intelligence linking business outcomes to workflows and tool capabilities, then applying cost, privacy, security and governance constraints. We are building those connected intelligence layers across ToolsInfo.com and AICost.ai, with SmallBiz.ai applying them to the needs of small businesses.”
A Free Starting Point For Owners
SmallBiz.ai gives small business owners a free starting point for reviewing workflow options, tools and automation ideas before committing to a plan or implementation. Its paid services are structured for businesses that need help deciding what to automate, which existing systems to retain and how to manage cost and governance controls.
